Join Our Team: Office Administrator Position Available

We are seeking a highly organized and efficient Office Administrator to coordinate office activities and ensure compliance with company policies. The ideal candidate will supervise administrative staff, manage office supplies, track expenses, and support various administrative duties to maintain a smooth-running office environment.

Key Responsibilities:

  • Office Coordination: Coordinate office activities and operations to ensure efficiency and compliance with company policies.
  • Supervision: Supervise administrative staff and divide responsibilities to ensure optimal performance.
  • Office Supplies Management: Keep stock of office supplies and place orders when necessary.
  • Expense Tracking: Maintain a log of office expenses and bills.
  • Print Mail Pieces Review: Assist with final reviews of print mail pieces before orders are finalized and printed for shipment, ensuring attention to detail.
  • CRM Utilization: Utilize CRM tools to track sales activities and customer interactions.
  • Client Data Management: Prepare and maintain accurate client data and spreadsheets, submit lead reservations, update clients’ mail lists, and keep data up-to-date for future orders.
  • Report Preparation: Oversee the timely preparation and submission of detailed reports.
  • Operational Improvement: Proactively seek opportunities to enhance sales operational procedures and improve customer service.
  • Administrative Duties: Perform other administrative duties as needed, demonstrating flexibility and a willingness to take on new challenges.
  • Travel Arrangements: Manage agendas, travel arrangements, and appointments for upper management.
  • Communication Management: Handle phone calls and correspondence (emails, letters, packages, etc.).
  • Budgeting and Bookkeeping: Support budgeting and bookkeeping procedures.
  • Records Management: Create and update records and databases with personnel, financial, and other data.
  • Presentation Preparation: Submit timely reports and prepare presentations/proposals as assigned.
  • Colleague Support: Assist colleagues whenever necessary.

Requirements:

  • Proven experience as an office administrator, office assistant, or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office and office management software (ERP, etc.)
  • Qualifications in secretarial studies will be an advantage
  • High school diploma; BSc/BA in office administration or relevant field is preferred

Language Skills: Fluency in Spanish and English is a plus but not mandatory.
